LouLou Lounge – Rental Terms & Conditions

1. Scope of Agreement
All rental contracts automatically incorporate these Terms & Conditions. No change is valid unless confirmed in writing by a LouLou Lounge director.
The Client’s responsibility for the rental items begins once they are delivered to the event site (or collected from our warehouse with prior approval) and ends only when LouLou Lounge retrieves them or they are returned to our premises.
The Client shall indemnify and hold LouLou Lounge harmless from any claim, loss, injury, or damage— including those brought by third parties—arising from the use or misuse of the rental items, as well as any legal costs incurred in defending such claims.
The Client agrees to use, maintain, and store all rental items in a clean, safe, and secure manner solely for their intended purpose. LouLou Lounge may refuse delivery if the venue is deemed unsuitable and likely to cause damage to the furniture.
The Client must verify the rental contract for accuracy (items, delivery location, load-in/load-out times) before the event.
2. Deposit & Payment
- Quote validity: 7 calendar days.
- To confirm a booking, the Client must:
- Pay a 50 % non-refundable deposit, and
- Sign or otherwise accept these Terms & Conditions.
- Pay a 50 % non-refundable deposit, and
- Balance: Due before or upon delivery.
- Payment methods: Cheque, bank transfer/Interac, Visa, Mastercard, or Amex (credit-card payments are subject to a 4 % service fee).
- A valid credit card must remain on file for the duration of the rental; no charges will be processed without prior written notice, but LouLou Lounge may charge the card immediately for missing or damaged items.
3. Cancellation
Once an order is confirmed, the items are reserved exclusively for the Client. The deposit is non-refundable. If the order is cancelled after confirmation—or if delivered items go unused—the Client remains responsible for the full rental balance.
4. Quality & Maintenance
All items are cleaned, maintained, and inspected before each rental. The Client must inspect the items upon delivery or collection and notify a LouLou Lounge team member immediately of any issue.
5. Damaged, Lost, or Stolen Items
The Client agrees to return furniture in the condition in which it was delivered.
- Repairable damage: Client pays the full cost of repair and any necessary cleaning.
- Irreparable damage, loss, or theft: Client pays the full replacement value.
- Cleaning: Items returned with stains that cannot be removed through standard laundering require professional cleaning at the Client’s expense; if uncleanable, replacement fees apply.
- All damage or loss invoices must be paid within 7 days to avoid additional penalties.
Care guidelines (follow to avoid extra charges):
- Place furniture on hard, level surfaces.
- Lift—do not drag—items.
- Do not affix anything to furniture without prior written consent.
- Keep furniture away from direct heat sources.
- Use candle holders to prevent wax drips.
- Do not allow guests to stand on furniture.
- Keep items dry and protected from weather when outdoors.
- Never sit or stand on any tables (wood, plexiglass, or mirror).
6. Delivery & Collection
- Standard window: 9:00 AM – 9:00 PM, seven days a week, within the Ottawa/Gatineau area.
- Delivery fee: Applies per truckload; additional fees apply for extra loads.
- After-hours or holiday service: Subject to additional charges.
- Labour: Installation and on-site execution are billed separately with a four-hour minimum; rates depend on order size and complexity.
- Venue access: The Client must provide an open loading dock and, for upper floors, a freight elevator. Restricted access requiring smaller trucks or extra labour will incur additional costs.
- Moving blankets: Supplied to protect rented items. Non-returned blankets are subject to a replacement charge.
7. Miscellaneous
- Multi-day rentals: Rates cover a single 24-hour period; extra days incur additional fees.
- Venue-imposed requirements (e.g., security, power, handling): All related costs are the Client’s responsibility.
- Event management: Extensive on-site setup may attract additional execution fees.
8. Force Majeure
LouLou Lounge is not liable for delays or failures caused by events beyond its reasonable control (e.g., extreme weather, strikes, road closures, pandemics). Deposits remain non-refundable; however, we will work with the Client to reschedule, subject to availability.
9. Privacy
Personal and payment information is used solely to process the rental and meet accounting obligations. LouLou Lounge complies with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Québec privacy legislation. See our Privacy Policy for details.
10. Acceptance
Placing a rental order with LouLou Lounge constitutes full acceptance of these Terms & Conditions.
11. Governing Law
These Terms are governed by the laws of the Province of Québec and the federal laws of Canada applicable therein. Any dispute will be heard in the courts of Ottawa, Ontario.
